1. Description of the local project:
ARA provides innovative and competent support to needy communities and organizations aimed at stimulating local development initiatives, especially among the disadvantaged; as well as developing harmonious relations among people of different backgrounds and cultures. This is achieved by boosting the people’s pride, dignity and self-confidence
Description of the tasks of the volunteer:
The Office Manager will be fundamentally responsible for the processing of members, Volunteers and project, donation and the corresponding thank you process that applies to each donation. The Office Assistant will maintain the office environment by answering phones, emailing, filing, and performing special projects such as direct mail campaigns, proofreading and editing and other office related work. Seasonally the Office Assistant will be asked to participate in special events planning and preparation, along with contacting and managing volunteers.
1. Database Entry:
• Input membership into Access or Excess database, make routine address changes
• Prepare thank-you letters (new members, memorials, etc.)
• Prepare mailing lists, reports to partners, Annual Report, special events
• and as otherwise required.
• Prepare database on arrivals and departure of all volunteers
• Prepare database on all Host families
• Prepare database on all project partners
2. Office Management:
• Maintain office filing and storage systems.
• Keep filing/document management system for electronic and paper documents organized
• Monitor and order office supplies.
• Distribute/file all incoming mail.
• Perform errands that assist daily functions: bank, Staples, etc.
• General reception duties. Return calls as appropriate, usually per request.
3. Staff Assistance:
• Research, typing, correspondence, email, and filing.
• Prepare Board Manuals for new Board Members and annually update manuals for continuing Directors
• Keep updated Board contact list and assist with Board mailings
4. Communications:
• Maintain up-to-date press contact list and distribute press releases to same
• Assist with production of Annual Report, newsletters, and other publications
• Directs and coordinates the activities of communication for ARA
• Oversees ARAS’s information transfer to partner organization and volunteers and arranges the most appropriate and cost effective solutions.
• Create standard mails or Letters for Volunteers
• Maintain the ARA website
• He/she provides leadership and advice on communication matters. He/she sets communication policy standards, leads learning and applications in the area of communication and ensures high quality communication support to ARA.
• Regular Meetings with Board members
5. Event planning and implementation:
• Assist in all aspects of event planning and implementation for ARA’s regular and ad hoc events:
• Assist with creation of flyers, special event notices, tickets, press releases, etc.
• Assist at events, including setting up, breaking down and other tasks as needed
• Perform clerical duties for events (RSVP lists, task lists, auction lists, thank-you's, etc.)
• Assist with creation of displays
7. Perform other tasks as identified by the Executive Director, Project Manager
• Draft concept and proposal papers
• Represent ARA on other forums
• The volunteer should be ready to travel in any part of Ghana to carry out monitoring and evaluation of the projects
QUALIFICATIONS AND SKILLS:
• Previous experience in an office setting required
• Experienced administrative professional who is dependable and highly organized with business
maturity, discretion, enthusiasm, and a positive attitude
• Technologically literate with strong computer skills including familiarity with Microsoft Word
and Excel and other commonly used software. Access Database skills would be a plus.
• Good internet skills, including use of e-mail programs and group messaging
• Good organizational skills and record keeping (attention to detail is critical)
• Cheerful presence and people skills
• Good oral and written communication skills
• Self starter who can work independently
• Skill in establishing priorities and managing workload
